Practice Manager

Role Overview

As our Practice Manager, you'll own the “backstage” of our clinic: from running clinic operations metrics and provider schedules, clinical onboarding logistics, tech/admin support and reporting, to supporting new program launches and ensuring high quality care standards. You'll partner closely with our operations team, care navigation team, medical and behavioral health providers—anticipating their needs, troubleshooting tech or admin hurdles, and cultivating a culture of continuous learning.

Key Responsibilities

  • Clinic Operations & Reporting
    • Generate and distribute weekly/monthly reports, such as appointment metrics, patient volume, provider capacity, no‑show rates, utilization
    • Maintain the master clinic schedule across time zones and states; optimize provider panels and availability
    • Track provider utilization and recommend adjustments to schedules or coverage as demand changes
    • Support the day-to-day operations of the clinic, ensuring a consistently high level of quality and experience for our patients, providers, and internal teams alike

  • Provider Liaison & Admin Support
    • Serve as primary point of contact for providers' tech‑support, administrative needs, PTO requests
    • Support onboarding logistics for new clinicians (EHR access, documentation templates, referral workflows)
    • Plan and execute team trainings and clinical meetings, communicating operational changes and schedule updates clearly and promptly to provider teams
    • Monitoring process and compliance for clinical programs
    • Create and maintain provider-facing ‘how-to' guides and quick reference job aids

  • Project Management & Process Improvement
    • Support cross‑functional projects (e.g., launch new programs, implement new referral pathways)
    • Document SOPs and train staff on new processes; iterate with stakeholders for improvements
    • Work closely with the QA Lead on operational findings that require process changes (QA-owned audits → Practice Manager owned operational fixes)
    • Oversee vendor onboarding and relationship management

Qualifications

  • 3+ years' experience in clinical operations, practice management, or healthcare project management—ideally in a telehealth or multi‑state environment
  • Strong familiarity with care quality standards, billing workflows, and basic quality‑audit methodologies
  • Demonstrated ability to build provider schedules, manage capacity planning, and interpret operational dashboards
  • Excellent communicator and relationship‑builder; adept at anticipating clinician needs and providing proactive support
  • Tech‑savvy: comfortable troubleshooting Zoom/EHR/integration issues; experience with Healthie or similar platforms a plus
  • Highly organized, detail‑oriented, and able to juggle multiple projects in a fast‑paced startup setting
